What’s Included in Your On-Site Studio Experience
At Muskaan Moments Photography, our On-Site Portrait Studio is designed to bring a clean, timeless, and professional experience to your event. Here’s what you can expect when you book with us:
Included in Every Setup:
- Professional Studio Lighting & Setup: We create a fully equipped studio space at your event, featuring expert lighting for flawless, flattering portraits.
- Solid White Backdrop: A clean, neutral backdrop that suits any event — modern, elegant, and timeless. (Please note: no props are used — this is not a photo booth experience.)
- Polished Portrait Style: All portraits are captured from the hip or waist up, creating a consistent, professional look across all images. We recommend up to 4 guests per shot for best framing, though larger groups are possible as long as they fit within our composition guidelines.
- Professional Editing: All the best images from your event are carefully selected and professionally edited for clarity, tone, and quality.
- Digital Gallery Access: A public gallery link will be provided for you and your guests to download their portraits — delivered within 24-48 hours of your event. The gallery will remain live and accessible for 6 months after the event date — giving plenty of time to revisit, download, and share.
- Print Release: All delivered images come with a print release for personal use, allowing guests to print through third-party services (excluding mass reproduction or commercial use).
Why No Props?
To maintain the elegance and consistency of the portraits, we do not include props or themed accessories. This is not a photo booth — it’s a portrait experience.
Our focus is on creating beautiful, distraction-free images that your guests will be proud to keep, frame, and share for years to come.
Important Note: Indoor Venues Only
Our On-Site Studio is not suitable for outdoor setups. The service requires an indoor or fully enclosed space with a flat surface and protection from weather or wind.
Image Rights & Usage
- Copyright: Muskaan Moments Photography retains full copyright ownership of all photographs taken at your event.
- Client & Guest Usage: You (the client) and your guests are granted a non-exclusive, non-transferable license to use the delivered images for personal use only — including sharing with friends and family and printing for private display.
- Photographer’s Promotional Use: By booking this service, the client grants Muskaan Moments Photography the irrevocable and unrestricted right to use and publish selected images for promotional purposes — including social media, website, portfolios, and marketing materials.
- No Non-Usage Restriction: There is no non-usage restriction on this service. We place a notice at the portrait location informing guests that by participating, they consent to the use of their images for promotional purposes.
What We Need From You
To ensure a smooth setup and the best possible experience, here’s what we’ll need from you ahead of time:
- A dedicated space indoors or under cover (minimum 15' Wide and 10' Depth and 9' Height)
- At least 30 minutes of setup time before guest portraits begin
- Clear communication on event schedule and any venue restrictions
On-Site Studio Packages & Pricing
Choose the package that best suits your event needs.
We arrive 30 minutes prior to your scheduled start time for setup and preparation. Time begins at scheduled time.
Coverage ends at the scheduled end time, even if photography starts later due to event delays.
Additional hours must be booked in advance — we do not extend coverage on the day of the event.
Payment & Retainer Policy
A 50% non-refundable retainer is required at the time of booking to secure your event date. The remaining balance is due 7 days prior to the scheduled booking.
Your date is not confirmed until the retainer is received. This policy ensures that time and resources are reserved specifically for your event.
2-Hour Package | $600
Perfect for smaller events, corporate mixers, or cocktail hours with a moderate guest count.
Includes:
- Full studio setup (lighting + solid white backdrop)
- Unlimited guest portraits within session time
- Professional editing of the best images
- Public digital gallery link within 24-48 hours
- Gallery available for 6 months
- Print release for personal use
3-Hour Package | $800
Ideal for weddings, galas, or events with steady guest flow over a longer period.
Includes everything in the 2-hour package, plus:
- Extended time for more guest participation
- Greater flexibility in scheduling guest portraits throughout your event
4-Hour Package | $950
Best for large-scale events, multi-part programs, or when you want maximum coverage.
Includes everything in the 3-hour package, plus:
- Even more time for guests to participate at their own pace
- Coverage across different segments of your event (e.g., cocktail + reception)
Downtown Chicago Location Fee
Hosting your event in Downtown Chicago or a high-traffic urban area? A $75 location fee will be added to cover the additional logistics required in these settings.
This fee helps offset the costs of:
- Paid parking or loading zones
- Permit requirements (when applicable)
- Extra setup time and transport coordination due to congestion and limited access
Why This Matters
Setting up a full studio experience in busy urban areas requires careful planning and extra time. We want to ensure your portraits run smoothly and on time — and that starts with proper access and preparation.
What Qualifies as a Downtown/High-Traffic Area?
These include central business districts, busy commercial zones, popular landmarks, and places with heavy foot or vehicle traffic—especially where parking or permits are limited.
In Chicago, this covers:
- The Loop, River North, The Magnificent Mile, and nearby busy commercial areas.
Planning a Downtown Event?
- Please let us know at the time of booking if your venue is located in or near downtown Chicago. This helps us prepare the necessary logistics and avoid last-minute delays.
Photography Permits & Client Responsibility
Some venues—like popular parks, public spaces, or private event locations—may require photography permits or event permissions. These permits ensure legal authorization, manage crowd control, and enforce local regulations.
Clients are responsible for obtaining and paying for any required permits. Muskaan Moments Photography cannot secure permits or cover related fees.
- If your event is impacted by permit issues or cancellations, Muskaan Moments Photography is not responsible for refunds or rescheduling. Clients should contact the venue or authority directly for permit-related concerns.
